Words from Grace

As I said during Thursday's School Leader Call, I thank you for your flexibility and grace these past few weeks. Although I have postponed classroom observation visits with many of you, the highlights of my time has been observing and analyzing instruction with you. We have visited classrooms three different remote ways: 

  • Observers go right into the classroom with their cameras off, each observer has the classroom link and Zoom in from remote locations, the team gathers at another link to discuss the visits
  • Observers schedule a Google Meet, leader zooms into the classroom and shares the screen, only the leader is in the classroom. The observers can talk during (as long as the leader is muted) and between observations in the same Google Meet
  • Observers gather in-person (in a space where social distancing is possible -  observe using a large screen such as a Bolling conference room); observers can talk, and only one person needs to enter the Zoom classroom.
I'm working on continuing to schedule visits, however am learning that I should only schedule a few days/one week at a time. I know this may cause conflicts for you - please let me know when you have conflicts and I will try to make a few switches. In the invite there will be choices for you to choose one of the methods above; please indicate which method you would like to use and feel free to bring your team. A couple more notes:
  • Leaders have included member(s) from their team to conduct visits
  • We have used the CRIOP (more below) to focus observations
  • We use the school's Standard of Excellence, focus observation areas as indicated in School Improvement Plans

One positive of observers gathering in-person to observe is being able to share common tools more concretely (such as actually on paper!). In this folder, find the Culturally Responsive Instruction Observation Protocol resources. Pay attention to documents labeled with numbers one through four. School Leader Guidance on Assessment - Special Education 

With the shift back to remote learning there have been many questions around assessments and how to move forward. The guidance from the Office of Special Education and Behavioral Health for assessments during intermittent remote learning can be found here.


Remote Learning Hubs

Under the citywide initiative, Using the City as a Classroom, Boston Public Schools with Boston After School and Beyond (BASB) is building remote learning hubs with a network of 120 after-school and summer programs to provide safe, supervised settings during the school day, in which children who are enrolled in school can attend remote learning instruction and receive enrichment services. High School Youth Risk Behavior Survey (YRBS)

The Office of Health and Wellness is excited to share results from the most recent High School Youth Risk Behavior Survey (YRBS). For 27 years, the YRBS has allowed BPS to gather information on priority issues impacting student health. The results are used to assess changes in youth health behaviors over time; inform our programs, policies, and practices; and to measure our progress towards eliminating health disparities that impact learning and individual and community health.


The 2019 HS YRBS report is a compilation of fact sheets that highlight significant results in key health behavior areas. Each section begins with an overall snapshot of key findings, followed by trend data, and closer looks at significant differences by demographic student groups and ends with key intervention strategies.


Additional results tables disaggregated by key student demographic subgroups including sex, race/ethnicity, sexual identity, grade level, and academic achievement as well as links to additional CDC YRBS resources are also available on the Health & Wellness website.

Deadlines for Submitting MCAS Performance Appeals and External MCAS Score Requests


MCAS Performance Appeals

Students who have been unable to meet the state’s CD requirements by passing the high school MCAS tests may be eligible for an MCAS Performance Appeal, an alternative pathway to meet the CD requirements. Requests for External High School MCAS Scores

Please complete this form to request MCAS high school scores for students who transferred into your school from another Massachusetts public high school.  External MCAS score requests are reviewed monthly and should be submitted by the second week of the month for the scores to be entered into Aspen by the end of that same month.  Please contact Karyn Hall Redcross at klhall@bostonpublicschools.org with any questions. 


MAP Data in Illuminate and Panorama

Did you know you can view MAP Growth data in Illuminate and Panorama? 


Illuminate: Fall 2020 MAP Growth data is now in Illuminate along with some pre-built reports. To find these reports in Illuminate, go to 'View Reports' and search for NWEA. Report details below:

  • NWEA Assessment Summary: This report shows performance summary for the students selected. Performance is reported by percentile and includes average RIT scores, lexile score distribution, and average RIT for goals, and the percent of students in each performance band.

  • NWEA Student Report: This is a student-level report that provides a summary of the student's MAP performance and allows for analysis of growth between two test events.

  • NWEA MAP Student Longitudinal Report: This is a student-level report that shows growth between ALL completed MAP tests for a student. 

Panorama: Fall 2020 MAP Growth data is now in Panorama. MAP Fluency data will be added soon. See the Panorama Student Success Guide for more information. 


MAP Growth Summary Reports Now Available! 

Two (2) summary reports are now available for leaders to view MAP Growth summary data for Fall 2020. Both reports are available for Principals and School Leaders and can be pulled directly in the NWEA platform.

  1. Student Growth Summary Report. This report summarizes growth at the school level by subject and grade. It compares school and student performance to national growth norms for schools with similar student demographics. 

  2. Projected Proficient Summary Report. This report summarizes the projected performance on state exams for your school by subject and grade. This report can be used to identify trends and make adjustments to instruction to address areas of need at the school and/or grade level.

Lynch Leadership Academy Fellowship


The Lynch Leadership Academy Fellowship is an opportunity to be part of a cohort of motivated, mission driven peers. The program consists of a 14-month Fellowship and seeks candidates with a strong instructional foundation, an unwavering commitment to equity, and an openness to learning and growing within a collaborative community of leaders. This program provides coursework, individual coaching, and for aspiring leaders, on the ground experience leading in a school alongside an effective and impactful school leader. 


Candidates are: 

  • Sitting principals who are already leading, but eager to further develop and improve.

  • Aspiring principals who are assistant principals, directors of instruction, teacher leaders or central office staff members, who will be ready to lead a school 2021-22.

Foundations of Breakthrough Leadership “Bridge Program” Joint New Leaders/BPS

The program is intended to act as a “bridge” between individuals in teacher leadership and building level leadership with the “next level” of leadership, either as a principal/head of school or as an AP that is taking on more responsibility.  


Boston Public Schools has partnered with New Leaders to provide a bridge program for aspiring school leaders (principals and heads of school). This bridge program, Foundations of Breakthrough Leadership,  is designed to enhance participants’  leadership knowledge and skills through content aligned to our 5 Leadership Competencies and one-on-one leadership coaching.  Since 2001, New Leaders has supported school districts by strengthening the skills and capacity of aspiring school leaders to advance student achievement.  We are committed to ensuring every school has visionary leadership that is culturally, instructionally, and operationally competent and reflects the diversity of our students in Boston Public School.

Leadership Recruitment Sessions

New Leader Induction

  • First year leaders actively participated in a New Leader Development session in October on Access and Equity in Mathematics and will have a session that deepens our work in coaching for Equity in Mathematics on November 10th.  

  • Second Year leaders actively participated in Problem of Practice groups and resource exploration sessions in October and November and have another upcoming session on December 5th.  

  • Support calls continue every other week and will be focused on engaging content instruction in remote settings.  


All Leader Professional Development

All Leader PD 10/29/20 focused on school leaders and district office staff understanding the arc of learning for year long leader PD and feel a renewed charge to continue to build anti-racist leadership grounded in CLSP. We also worked to:


  • Reground in our understanding of CLSP and assess the current state of CLSP and anti-racist leadership practices.

  • Gain tools and practice in cultivating CLSP and confronting practices that counter CLSP in our schools.

ATM Professional Development

ATM PD 11/3/20 explored ways to develop a plan that works for leaders to better manage the work and get it all done. In addition, leaders developed a plan for observing a non-teaching staff member in the remote setting.

Contracts for Long Term Sub to Provisional Teacher 

Please review any subs in your building who are filling long term vacancies. On December 1st, OHC will conduct a review of these positions and Long Terms Subs will be moved into a Provisional Contract for the remainder of the year.


If you need to make a change (i.e. you have a substitute covering for a leave that will go through the end of the year, but you do not want this employee to continue working in your school), please do so prior to 12/1. 


First-Year Provisional Teacher and Newly Hired Paraprofessional Probationary Period Terminations 

The Office of Labor Relations is requesting that concerns regarding the performance of provisional teachers in their first year and newly hired paraprofessionals in BPS be received by December 4th.

 

In order to seek the dismissal of a first-year provisional teacher (within 90 day workday period - December 19) or newly hired paraprofessional (within the 60 day school day period - December 17), the Office of Labor Relations (OLR) requires that the principal or headmaster provide an OLR attorney with a memorandum outlining the reasons for seeking dismissal. This memorandum should be sent to OLR@bostonpublicschools.org.


Upon review, if appropriate, OLR will forward a recommendation for dismissal to the Superintendent. If the Superintendent approves the dismissal, the principal or headmaster will be provided with a dismissal letter to be given to the teacher or paraprofessional.


All memos should be received by Office of Labor Relations no later than December 4th for review. Please be advised that the Superintendent must approve the dismissal of any teacher. Unless you are directed otherwise by the Assistant Superintendent for Human Capital, teachers are not to be dismissed or told to leave their assignment prior to your receipt of a dismissal letter from our Office.

Post #15 Thursday Memo - October 29 (on Friday!!!)

I hope you take a moment to view the You Can Be ABCs! I also hope you had an opportunity to recenter upon the inspiration and purpose of our anti-racist work in BPS from Thursday's district professional development session. The White Supremacist reading was new for me and was a lot to digest in the time allotted. Thank you for being focused and present in the work.

Megan Webb and I had an opportunity to observe remote instruction in a few classrooms this week by projecting on the large displays at Bolling. It was great to be in the same room while becoming familiar with the CRIOP tool. I also observed a couple of fifth grade classrooms with Andrew Rollins remotely - we joined the classroom zoom with our cameras off. Both ways of observing worked. It was nice to be able to chat with Megan during and after the observation - something you wouldn't normally be able to do when visiting live. In coming weeks, we can observe in whichever way works best for you and your school.

Holding QSP Office Hours was a great learning opportunity for leaders to share their thinking around their plans. I canceled yesterday's when I realized you all already had a full PD day. I will add more opportunities in weeks to come.

Survey to BTU Members

The district, BTU, and stakeholders aim to continue to provide in-person services to our highest priority children. We are working to create a limited phase-in for students with the highest need from across the district. This form was sent to all BTU members to indicate if there was a willingness to support our very highest needs students as a first step to safely re-initiating services for students across the district. The deadline to complete the form is Friday, October 30.

BTU staff surveys were sent to all BTU staff using their primary email address on file in ESS. Staff must be logged into their BPS email account to complete. Here, employees can find more information on how to change their primary email address.

The UPK K1 Community-Based/Boston Public Schools K2 Connector System was approved by the Boston School Committee on September 16th.

Telescope Network

We’re reaching out to school administrators to ask for your help. Each year, we survey educators across BPS to find out what they want and need to learn next. We’ll use the responses to help build professional development programs for the year. 


Administrators can help in two ways:

  1. Share the survey with your staff. It takes about 6 minutes to complete. Anyone who completes the survey is entered to win a raffle prize ($25 Amazon gift cards).
  2. Take the survey yourself. We’d love to hear from you as well--and we’d love to hear about any bright spots or humble experts on your staff.


Summary Report: If we hear from at least 10 of your staff members, we will create a “’Needs Assessment Report” to summarize the responses from your school.

OEL's RETELL SEI Endorsement Courses - Free!

Registration for OEL's RETELL SEI Endorsement Admin and Teacher courses is now open on TeachPoint. Courses start Nov/Dec.  The course is open to all BPS educators at no cost; priority enrollment will be given to current teachers of ELs and administrators who need the SEI endorsement for their role.


Provisionally Screened ELs - Guidance

In response to questions from school leaders and LATFs, OEL has issued guidance regarding Provisionally Screened English Learners (ELs) who have been remotely screened by the Newcomers Assessment and Counseling Center (NACC) due to COVID-19 closure since March 17, 2020. To date, about 800 such students have been provisionally screened. We thank school teams for their patience as we continue to work diligently to be able to safely resume in-person formal assessments of English Language Proficiency.  If you have any questions about how best to support these students, please contact your OEL liaison or sign up for OEL office hours.


Edmentum Transition 

This is a reminder that the district will transition to the Edmentum platform used for online learning and credit recovery at the end of December. This means that no new students may be added to Acellus after December 31, 2020.  Existing students on Acellus will have until June 30, 2021 to complete their coursework.  Please see the September 21 memo for reference. 


Edmentum training will be available throughout November and December for your convenience. Training will be conducted by school.  If your school desires a training, we ask that the school leader determine which date works for staff and ensures all credit recovery staff and other relevant roles attend the training.  Please choose a date for your school's training here: Edmentum School Sign-Up.  Once you choose a date, you will be contacted by a member of the Credit Recovery Working Group with additional details. Arts and ELA November Challenge!

The Arts and English Language Arts content areas of the Academics and Professional Learning Department are teaming up for a November challenge for all students to create a 100-word essay with adjoining visual or media art depicting everyday life in the City of Boston. Selected stories with accompanying artwork will be made into a virtual mosaic and a printed banner. Media files such as video or music mp3's will be posted as QR codes. Expectations for Use of Feedback & Coaching Tracker

ODA has developed an (optional) Feedback & Coaching tracker, aligned to the Universal Expectations. Schools may use the tracker to monitor and inform feedback and coaching cycles with teachers (link includes sample data). The tracker highlights the rates of coaching for individual teachers and helps to organize observation data to highlight trends in standards-aligned instruction and which CRIOP pillars and indicators are prioritized for feedback. Panorama Weekly Update - Attendance Data & Students Trending Up:

  • Panorama Student Success provides many ways to see attendance data, including students who are trending upward.

  • The “Trending” filter identifies students who crossed an attendance threshold in the past 7 days (red to yellow, yellow to light green, or light green to dark green). 

  • Student Success Teams and teachers can use this filter to quickly identify successes, and partner with students to build on their growth.

Modified Projections Timeline and Process

In a typical school year, the first version of projections would be shared with school leaders in the first week of November, which would mark the beginning of a thorough review and feedback process between school leaders and the district office. Given the unprecedented enrollment decline of roughly 2,300 students this year, the projections process will look significantly different. The first version of projections will not be released until later in November, and the feedback process will be altered. This will help us identify the impact of this decline on school budgets, and think through what we can do to minimize the negative impact wherever possible. We will be reaching out over the coming weeks with more information about the process for this year.

Schedule School Preview Dates

It's time to start looking ahead to school choice season and registration for SY 20-22.  School choice season generally starts in November as families start to research their school options in preparation for registration in January.  Obviously, this year’s school choice events will need to look different than in years past.  We have already begun planning on how we can support you with virtual school preview dates and what a virtual School Showcase event would look like.  


At this time, we are asking for your assistance in planning for the upcoming school choice season by Scheduling School Preview Sessions.  We are asking each school to schedule three virtual school preview sessions over the course of November to January.


In the past, school preview days have provided prospective families with the opportunity to visit your school, meet the principal and teachers, and learn more about your school community.  Unfortunately, in-person events will not be possible this year.  As a result, we are asking schools to schedule online sessions for prospective families to learn more about your school.  

 

We will follow up with more information and resources in the coming weeks to help you plan your online school preview sessions.  You can use these sessions to do a virtual tour of your school building, have a Q&A session with parents and teachers, and provide them with other information to help better inform their school choices for the 2021-2022 school year.
